What we can edit in your PDF
Our editors work at the pixel level of your document. That means the changes we make look like they were always there — same fonts, same alignment, same spacing, same colour. The list below covers what we routinely handle; if your edit is not on the list, ask us anyway.
- Text edits — typos, rewording, grammar fixes, tone changes, date updates, name corrections, contact details, address changes, phone numbers, email addresses, legal entity names, dates, version numbers, footer notes
- Number edits — prices, percentages, dates, totals, tax figures, quantities, weights, measurements, statistical figures, financial figures, version numbers, page counts, table cells
- Image swaps — replace logos, photos, signatures, charts, diagrams, watermarks, backgrounds. We match the original image dimensions and quality so layout does not shift
- Layout shifts — re-align text, fix widows/orphans, balance columns, adjust margins, change font sizes, swap paragraph order, fix bullet alignment, justify ragged text
- Page-level work — insert new pages, delete pages, reorder pages, add headers/footers, page numbering, page breaks, blank pages, two-page spreads

If your edit is not on this list — for example, adding a watermark behind existing text, or replacing a chart in a way that re-runs the underlying data — ask us. Most edits fit one of these categories, and if yours is genuinely unusual we will tell you upfront whether we can handle it or point you to a better tool.
Document types we work with
We work with PDFs from virtually every source. The list below covers the vast majority of what comes through our door.
- Digital-native PDFs created in Word, Google Docs, InDesign, LaTeX, Google Sheets, PowerPoint, Pages, Keynote, web exports, or any office suite
- Scanned PDFs from phones, copiers, office scanners, fax machines, archived paper records. These need OCR first; see our OCR services page
- Password-protected PDFs — send the password along and we will edit then remove the password, or leave it in place per your preference
- PDF portfolios and packages — multiple PDFs bundled together; we can edit the contents while preserving the package structure
- PDF/A and PDF/X archival formats — we edit carefully to preserve the underlying compliance metadata where possible
- GeoPDF, PDF/E (engineering), and PDF/VT (variable data) — handled case by case; flag the format when requesting a quote
All standard PDF versions (1.4 through 2.0) are supported. We do not work on PDF/A-3F or PDFs with embedded XFA forms — those need Adobe LiveCycle or AEM Forms, a different toolchain. If you are not sure what flavour of PDF you have, send it over and we will tell you within 2 hours whether we can edit it as-is, edit with light OCR, or recommend a different service.
Large documents are not a problem. We routinely work on 200-page financial reports, 500-page legal contracts, and 1,000+ page technical manuals. Pricing scales with the number of changes rather than the document size, so a one-character fix in a 800-page manual is charged the same as a one-character fix in a 1-page letter.
How we keep your layout intact
The hardest part of PDF editing is not the change — it is making the change without breaking what was already there. PDF files do not behave like Word documents: there is no "track changes" you can audit, no "undo history" to roll back. Every edit is a rewrite of the underlying page description, and a sloppy edit can introduce font shifts, layout drift, or even corrupt the file.
Our process avoids all of that.
- Inspect the file structure before editing. We open the PDF in a professional editor (Adobe Acrobat Pro, Foxit, or our internal tooling) and examine the fonts, image objects, and form fields used on the page where the change will happen.
- Match the original typography exactly. If the original uses Helvetica Neue 9pt with 1.15 line-height, the replacement text uses the same. We carry a library of every standard PDF font (Helvetica, Times, Arial, Calibri, and so on) and we purchase commercial licenses for the rest.
- Preserve embedded fonts. When a PDF embeds its own font subset, we keep that subset intact and edit within it. If the subset is missing glyphs we need, we will tell you upfront rather than substitute.
- Reflow, do not re-layout. We resize text containers minimally to absorb the change. We never restructure the whole page unless that is the specific edit you asked for.
- Visual diff every change. Before delivery we compare the edited PDF against the original at 100% zoom on three devices (desktop, tablet, phone) and three viewers (Acrobat, Chrome PDF, mobile preview).
- Keep the original safe. We never overwrite your source file. Every delivery is a new file; the original is deleted within 14 days.
Net result: the change is invisible to anyone who does not know to look for it, and the document still opens, prints, and parses correctly in any PDF tool on the planet.
Pricing and turnaround
For straightforward edits, our pricing is flat and predictable. There are no hourly billing surprises — the price we quote is the price you pay, regardless of how long the change actually takes on our end.
- Small edits (up to 5 changes per page) — from £15. Typical examples: fixing a typo, correcting a date, swapping a name, updating a price, fixing a single broken link.
- Standard edits (10 to 25 changes per page) — quoted per project. Common for fixing an entire section of a contract, swapping out a paragraph, redoing a table.
- Heavy edits (25 or more changes per page or full layout rework) — quoted per project. For full layout rewrites, see our Document Formatting service.
Turnaround is equally straightforward.
- Standard delivery — 48 hours from quote approval. Most small edits are delivered well before that, often the same business day.
- Express delivery — 12 hours, +£20 per order. Available 24/7 including weekends. Useful for last-minute submissions and tight deadlines.

What to send us
To get started, we need three things. Send them via WhatsApp, email, or our secure upload link — whichever you prefer.
- The PDF file — original, unedited. We accept up to 200MB per file; larger files we transfer via a shared drive. If the file is password-protected, send the password in a separate channel (e.g. file via WhatsApp, password via email).
- The change list — what you want changed, written as concretely as possible. For example: "Page 3, paragraph 2, second sentence — change 'Q3 2025' to 'Q4 2025'. Page 7, table 2, row 4 — change '£125,000' to '£135,000'." The more specific you are, the fewer rounds we need.
- Reference (if any) — a styled version of the same document, a screenshot showing the new look, or a different version of the document we should match. Useful for design edits where the change is "make this look like that".
Once we have those, you will get a fixed quote within 2 hours. Approval unlocks the work, and we deliver via the same channel you used to send it. If the quote is over £100 and you are a new client, we will do a free 1-page sample first so you can see the work quality before committing to the full project.
Confidentiality and security
Your documents are confidential. Our default posture is the strictest we can reasonably offer, because most of the documents we work on (contracts, financial statements, internal reports) need it.
- TLS 1.2+ encryption for every upload and download
- AES-256 encryption at rest in our file store
- Two-person access — only the editor assigned to your job plus a single accountable reviewer can open the file
- Automatic deletion — source files, working drafts and final outputs are permanently deleted within 14 days of delivery
- NDA on request — for regulated industries, project-specific NDAs are signed before we touch the file. This is included in the project cost; we do not upcharge for it.
- No AI training — we never use AI models on your documents for any purpose, not for OCR, not for editing, not for training. Every change is made by a human editor using professional tools.
- Audit trail — every deliverable is logged with editor ID, timestamp, and revision history. Available on request for compliance-sensitive work.
